Privacy statement
Last updated: 9 October 2026
This privacy statement explains how UCLL University of Applied Sciences handles personal data on the website of the SAIL research project (Scenarios for AI and Learning), sailproject.ai.
General
UC Leuven-Limburg processes personal data in the context of its threefold mission: education, research and service to society. UCLL considers the protection of your privacy important and aims to comply with the rules that guarantee a safe, controlled and confidential use of this website. Below we explain which personal data we process, why we do so, how long we keep it, what rights you have and how you can exercise them.
What is the purpose of this website?
The website provides information about the SAIL research project and its results. It contains:
- the Wiki of Research, with interim research results and literature analyses;
- SAIL Radar, a curated collection of external sources on AI and education;
- the SAIL Assistant, an AI assistant that answers questions based on the content of the wiki.
Who is the data controller?
The data controller is:
VZW UC Limburg, with registered office at Agoralaan, Gebouw B, bus 1, 3590 Diepenbeek, Belgium, company number 0417.195.515, RPR Hasselt, www.ucll.be.
UC Leuven-Limburg, abbreviated UCLL, is the brand name under which the non-profit organisations UC Leuven and UC Limburg operate together as a single entity.
What personal data do we process?
When you visit the website
As with any website, the server processes technical data when you request a page: your IP address, the type of browser and device, the page requested and the time of the request. This data is stored in the log files of our hosting provider Combell (Belgium). We use it solely to keep the website secure and working properly, not to track you or build a profile of you.
The website sets one technical session cookie. We do not use analytical cookies, advertising cookies or any other tracking techniques. You can read more about this in our cookie policy.
Content your browser loads directly from third parties
To display the website, your browser loads some elements directly from external parties. In doing so, these parties inevitably receive your IP address and technical information about your browser. This concerns:
- fonts via Google Fonts (Google Ireland Ltd. / Google LLC);
- the styling library Tailwind CSS via its own CDN;
- website icons (favicons) of the sources on SAIL Radar and the homepage, via a Google service;
- preview images of the sources on SAIL Radar and the homepage, which are loaded directly from the original websites (for example news media).
What these parties do with this data is governed by their own privacy policies. For Google, see policies.google.com/privacy. This processing may involve a transfer of data outside the European Economic Area.
SAIL Radar
We manage the sources on SAIL Radar using the Raindrop.io service. Our server retrieves this list using its own key and stores it temporarily in a cache. No visitor data is sent to Raindrop.io in this process.
The SAIL Assistant (AI)
When you ask the SAIL Assistant a question, our server sends your question, together with relevant excerpts from the wiki, to Claude, an AI language model by Anthropic PBC (United States). Anthropic processes your question in order to generate an answer.
- We do not store your questions or answers on our server.
- Your most recent question and the answer are kept temporarily in your own browser, so you do not lose them when you navigate to another page. They are removed as soon as you close the browser tab.
- Anthropic processes the data in accordance with its own commercial terms and privacy policy. Because Anthropic is based in the United States, this involves a transfer of data outside the European Economic Area.
Therefore, do not enter any personal data or confidential information into the SAIL Assistant, such as names, contact details or information about students or colleagues.
Newsletter and research updates
If you would like to stay informed about the project and its research results, you can subscribe with your email address (and optionally your name). We use this data solely to send you the newsletter and research updates.
- Your subscription is based on your consent.
- We store your data on the server of this website, with our hosting provider Combell (Belgium). Only the project team has access to it. We do not use an external newsletter service to collect addresses.
- We send the messages through UCLL's email system. For larger mailings, we use Flexmail, the mailing service UCLL works with. Your email address is passed on to that service only to send the messages on our behalf.
- We do not share your data with third parties for any other purpose.
- You can unsubscribe at any time via the unsubscribe link in the email or by emailing info@sailproject.ai. We will then delete your data.
If you contact us
If you send us an email, we use your name, email address and the content of your message solely to answer your question.
Data of research participants
Personal data of participants in the practice-based research, such as the scenario planning sessions, are collected, managed and analysed by the researchers. In doing so, they follow the rules on scientific research and ethics that apply within UCLL. If you are mentioned by name or organisation in the Wiki of Research and no longer wish to be, please contact us.
On what grounds do we process personal data?
- Technical data when visiting the website and the SAIL Assistant: our legitimate interest and our task in the public interest of disseminating research results and providing a secure, working website.
- Newsletter: your consent, which you can withdraw at any time.
- Research data: depending on the research, your consent or the public interest of scientific research.
How long do we keep your data?
We do not keep personal data longer than necessary for the purpose for which it was collected. Technical log data is kept for a limited period for the security of the website. Newsletter data is kept until you unsubscribe, and at the latest until the end of the SAIL project. Research data is kept for as long as necessary for the research. Depending on the nature of the research, this period may be up to 20 years.
How do we protect your data?
Only a limited number of UCLL staff have access to personal data, and only when they need it to perform their duties properly. UCLL has appointed a Data Protection Officer (DPO) who advises on privacy rules and monitors compliance with them. We take technical measures to protect personal data against unauthorised access, use, loss or theft, such as strong passwords, encrypted connections and back-ups.
What are your rights?
You have the following rights. They are subject to certain conditions, which means we may not always be able to grant every request.
- Right of access: you may know whether we process data about you, and which data.
- Right to rectification: if your data is incorrect, you may ask us to correct it.
- Right to erasure ("right to be forgotten"): among other things when your data is no longer needed, when you withdraw your consent, or when it has been processed unlawfully.
- Right to withdraw consent: you can do so at any time, but not retroactively.
- Right to restriction of processing: for example while we verify the accuracy of your data.
- Right to object: you can object to the processing on grounds relating to your particular situation.
- Right to data portability: you can request the data you provided to us in a structured, machine-readable format.
To exercise any of these rights, send an email to limburg@ucll.be.
Lodging a complaint
If you have a complaint about how we handle your data, please let us know first so that we can look for a solution. You also always have the right to lodge a complaint with the Belgian Data Protection Authority.
